How To Make A Complaint

Please include Data protection complaint in your message so we can identify and handle it correctly.
To help us look into your complaint, please include:

- Your contact details
- A clear description of your concern
- Any relevant dates, emails, forms, screenshots or other information
- What you’d like us to do to help resolve it
Please do not send sensitive personal information unless it is needed for your complaint.
What Happens Next
We’ll acknowledge your complaint within 30 days of receiving it.
We’ll then look into your concern and respond without undue delay. Where possible, we aim to provide a full response within 30 days.
If the matter is more complex, or if we need input from a supplier, service provider or third-party platform, we’ll let you know and keep you updated.
How We Investigate Complaints
When reviewing your complaint, we may:
- Check the personal data we hold about you
- Review how and why your personal data has been used
- Check whether any suppliers, service providers or third-party tools are involved
- Identify whether anything needs to be corrected, deleted or updated
- Look for any areas where we could have handled things better
- Decide what action, if any, should be taken
We’ll provide a written response explaining what we found, what we’ve done, and whether any further action is needed.
If Another Organisation Is Involved
Sometimes personal data may be connected to another organisation, such as a supplier, service provider, booking platform, payment provider or professional adviser.
If your complaint involves another organisation, we may need to contact them or direct you to them so the issue can be handled properly.
Where appropriate, we’ll help look into the issue and explain what we can do.
Keeping Records
We’ll keep a record of your complaint, our investigation, our response, and any action we take.
We’ll only keep complaint records for as long as we reasonably need them for legal, regulatory and business purposes.
If You’re Unhappy With Our Response
If you’re not satisfied with our response, you can complain to the UK data protection regulator, the Information Commissioner’s Office (ICO).
